This Privacy Policy explains how Kore Funding LLC, doing business as Easy Contracts TC ("Easy Contracts," "we," "us"), collects, uses, and shares information through our website at easycontractstc.com (the "Website") and our software, including Easy Contracts Transaction Management, Compliance, E-Sign, CRM, and Easy Contracts Account (the "Services").
1. Who this policy covers, and our role
- Brokerages and their people. Our customers are real estate brokerages. Their brokers, admins, transaction coordinators, and agents ("Users") use the Services by invitation.
- Our customers' clients and contacts. Users put information about buyers, sellers, other agents, lenders, title companies, and other parties into the Services. For that information we act as a service provider to the brokerage: the brokerage decides what is collected and why, and we process it on the brokerage's behalf and under its instructions. If you are a client of a brokerage and have a question about your information, please contact that brokerage first; we will help it respond.
- Website visitors. People who visit our Website.
2. Information we collect
Account information. Name, email address, phone number, role, brokerage, and the products and permissions a User has. For licensed Users, licensing details the brokerage enters, such as license number, NRDS ID, board or association, and MLS details. Sign-in records, including two-step sign-in codes (stored only in scrambled form) and trusted-device settings.
Transaction and customer information. What Users enter or upload to the Services, which may include:
- names, email addresses, phone numbers, and mailing addresses of buyers, sellers, and other parties;
- property addresses and public property records;
- contracts, addenda, disclosures, closing statements, and other documents, and the terms in them, such as prices, dates, deposits, and commissions;
- commission and disbursement details;
- taxpayer identification numbers on W-9 forms for referral recipients and service providers (encrypted);
- notes, tasks, and activity on each file.
Electronic signature information. For each signer: name, email, the time of each step (viewing, agreeing to sign electronically, signing, declining), their IP address and browser type, and the signature and initials they adopt. These are kept in the audit trail and the certificate of completion.
Messages. Emails and text messages Users send and receive through the Services, and records of consent and opt-outs for text messages.
Connected accounts. If a User links an email account, we store what is needed to send email as that User (for example, an encrypted sign-in token from Google, or encrypted mail-server credentials). If a User links a Google account, we use it only to send email as that User and, if they choose, to add deadlines to their Google Calendar.
Technical information. Logs of requests to the Services, including IP address, browser type, pages used, and error reports, kept to run and secure the Services.
Cookies. The Services use cookies that are strictly necessary: to keep you signed in, to remember a trusted device, and to remember view choices. The Website may use Google Analytics and Google Ads cookies to measure visits and advertising; see Section 7.
Feedback. Bug reports and suggestions you send us, with your name and email.
3. How we use information
We use information to:
- provide, maintain, and secure the Services, including signing people in and enforcing each brokerage's permissions;
- carry out what Users ask for, such as creating files, reading contracts, sending documents for signature, sending emails and texts, and syncing between Easy Contracts products;
- keep records and audit trails, including for at least seven years as described in Section 8;
- send service messages, such as invitations, sign-in codes, security alerts, and signature requests;
- respond to support requests and feedback;
- improve the Services, using aggregated or de-identified information where we can;
- comply with law and protect the rights and safety of our customers, their clients, and us.
We do not sell personal information. We do not use our customers' transaction or client information to advertise to those clients.
4. Artificial intelligence features
Some features use artificial intelligence: reading an uploaded contract to fill in a file, checking documents against a compliance checklist, and drafting or personalizing CRM messages. When a User uses one of these features, the relevant document text or file details are sent to our AI provider, Anthropic, PBC, to produce the result. Under our agreement with Anthropic, it may not use this content to train its models, and it keeps it only as long as needed to provide the service and for limited safety and legal purposes. AI output is a suggestion that Users review. It is not legal or professional advice.
5. How we share information
We share information only as follows:
- Within a brokerage. With the brokerage's own Users, according to the roles and permissions the brokerage sets.
- With signers and recipients. When a User sends a document for signature or sends an email or text, the content and the sender's details go to the recipients the User chooses.
- Service providers that help us run the Services, under contracts that limit their use of the information:
- cloud hosting and database providers in the United States;
- Anthropic (AI features);
- Twilio (sending and receiving text messages);
- Google (sending email for Users who link a Google account, calendar events, and address search), and other email providers a User connects;
- Namecheap and EasyWP (our domain and Website hosting).
- Public records sources. To look up a property, we send its address to public sources such as county property appraiser and GIS services and the U.S. Census Bureau's address service.
- Legal and safety. When required by law, subpoena, or court order, or to protect the rights, property, or safety of our customers, others, or us.
- Business transfers. In a merger, acquisition, or sale of assets, under confidentiality terms, with notice to our customers.
6. Text messaging
Users may send text messages to their contacts through the CRM.
- Text messages are sent only to people who have agreed to receive them, and each message identifies the brokerage or agent it comes from.
- Message frequency varies. Message and data rates may apply.
- Recipients can reply STOP at any time to stop receiving texts, and HELP for help. Opting out is recorded, and the Services block further texts to that number.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers (such as Twilio) that deliver the messages for us.
See our Text Messaging Terms for more.
7. Website analytics and advertising
The Website may use Google Analytics to understand how visitors use it, and Google Ads to measure and show advertising. These services set cookies and collect information about your visit, such as pages viewed and the site you came from. You can learn how Google uses this information at policies.google.com/technologies/partner-sites. You can opt out of Google Analytics with Google's browser add-on (tools.google.com/dlpage/gaoptout) and adjust ad personalization at adssettings.google.com. These Website cookies are not used inside the Services.
8. How long we keep information
- Transaction records (files, documents, signed copies, audit trails, disbursement authorizations): at least seven (7) years after the later of the transaction's closing or cancellation, or the record's last change. Deleting a file or document in the Services hides it but does not destroy it during this period.
- Account information: while the account is active, and afterwards for as long as the related transaction records are kept.
- Messages and consent records: as long as the related contact is kept, and consent and opt-out records for at least 5 years, so we can show what a person agreed to.
- Logs: generally up to 12 months.
- Backups: kept on a rolling schedule and overwritten over time.
After these periods, we delete or de-identify the information, unless the law requires us to keep it longer.
9. How we protect information
We use safeguards designed to protect information, including: encryption in transit (HTTPS); additional encryption for taxpayer identification numbers and for linked email credentials; signing links stored only in scrambled form; two-step sign-in for brokers, admins, and the account owner; role-based access; limits on repeated sign-in attempts; and activity logs on every file. No system is perfectly secure. If a breach affects your personal information, we will notify the affected brokerage and individuals as the law requires, including section 501.171, Florida Statutes.
10. Your choices and rights
- Users can view and update their name and licensing details under My profile, and ask their broker or us to correct or remove information.
- Clients and contacts of a brokerage should contact the brokerage, which controls that information. We will help the brokerage respond.
- Requests to us. You may ask us about the personal information we hold about you, or ask us to correct or delete it, by emailing info@easycontractstc.com. We will respond within a reasonable time. Some information must be kept for the record-keeping periods in Section 8, or because the law requires it.
- Email. Service emails, such as invitations and signature requests, are part of the Services. Users' own marketing emails sent through the CRM include an unsubscribe link.
- Texts. Reply STOP to stop texts.
11. Children
The Services and Website are not directed to children under 18, and we do not knowingly collect their personal information through them. Information about a minor may appear in a transaction document a User uploads; it is handled like other Customer Data.
12. Where information is stored
We store and process information in the United States.
13. Changes
We may update this policy. We will post the new version with a new "Last updated" date and, for material changes, notify Users by email or in the Services.
